The problem – no central knowledge base
With 160 employees and a tech team of 25-30 people, Medialab required a tool that would scale with their rapidly expanding organisation. Whilst they had a well-organised in-person training schedule, they were struggling with fragmented tools and scattered knowledge across the business for platform-based learning. Their tech team was using Jira for project management whilst internal knowledge was spread across SharePoint and other ad-hoc solutions.
Medialab's growth was compounding these issues. With Apollo, the agency’s operating system built to organise multi-source marketing data, serving 150 internal users and 400 external users, the lack of a formal knowledge base was hindering adoption and engagement.

Implementation
Medialab implemented Superthread to create a comprehensive knowledge base for their Apollo platform, organizing it into multiple spaces with clear structures for different types of content:
Knowledge base – created a structured knowledge base that made information more discoverable and easier to search for, driving better engagement across the organisation.
Free 'view-only' guests – users that only need to read documentation (rather than edit it) are not charged for access. This massively increases the engagement across the company in an affordable way.
Sprints and issue tracking – the data and engineering team imported their Jira workflows into Superthread and never looked back.
All of this is tied together with the Slack integration. Updates on tasks, comments, and project milestones appear instantly in the team’s channels, keeping everyone informed without the need to check another tool.
